Cleaning Quote Template (Australia): What to Include
Every cleaning quote needs seven parts: (1) your business details including ABN, (2) client name and property address, (3) itemised scope — included and excluded, (4) price with GST shown, (5) a validity period, (6) a variation clause for worse-than-described conditions, and (7) payment terms. The scope and variation clause are what prevent disputes.
Why the template matters more than the price
Property managers and strata managers judge cleaners by their paperwork before they judge the cleaning. A quote that arrives as a vague text message says "sole trader who might not show up." A quote that arrives itemised, on a letterhead, with an ABN and clear terms says "business I can put in front of my landlord." Same clean, same price — different win rate.
The seven parts, in order
- Your details: business name, phone, email, ABN. This is your letterhead.
- Their details: client name, property address, requested date if known.
- Scope: itemised by room or task. Crucially, list exclusions too — "excludes inside of fridge, external windows above ground floor, garage" prevents the most common arguments.
- Price: line items plus a total, GST treatment shown ("$585 inc. GST" or GST itemised).
- Validity: "This quote is valid for 7 days" (general) or 14–21 days (end of lease).
- Variation clause: see below — this is the one most templates miss.
- Payment terms: when and how — on completion, within 7 days, bank transfer, etc.
The variation clause (copy this)
"This quote is based on the photos and information supplied. If on arrival the property's condition is materially different from what was shown, any additional work and charges will be discussed and agreed with you in writing before we proceed. If additional charges are declined, we will complete the originally quoted scope."
Two sentences, and it converts the worst conversation in cleaning — "this is way dirtier than you said" — into a documented, pre-agreed process. It's fair to the client too: they know nothing gets added without their written approval.
